One thread per job, first call to final sign-off

The sales pipeline is 12 stages, from New Enquiry to Handover. The full workflow is 17 stages, because the job keeps going after you win it.

  1. 1

    Enquiry

Calls, web forms and emails land in one list. Gmail enquiries can be read and drafted into a lead automatically.

  2. 2

    Site visit

Book the visit against a surveyor's calendar, then capture measurements, actions and photos on your phone.

  3. 3

    Quote

Build the price from labour, materials, plant, subcontractors and prelims — with gross margin visible before it goes out.

  4. 4

    Follow-up

3, 7 and 14 days after the quote, automatically. The chase happens whether or not anyone remembers.

  5. 5

    Won

Mark it won and a live project, pre-construction checklist, payment schedule and client portal are created for you.

  6. 6

    Build & handover

Run the programme, variations, snagging and stage payments, then finish with the handover pack the client signs off.

What you get

12-stage sales pipeline

New Enquiry through to Handover, inside a 17-stage workflow that carries on through Won, In Construction and Practical Completion.

Site visits and quoting

Book visits, capture measurements and photos on site, then price labour, materials, plant, subcontract and prelims with the margin visible.

Automatic follow-ups

3, 7 and 14 days after every quotation, then monthly. The chase happens whether or not anyone remembers.

Won lead becomes a live project

A project, pre-construction checklist, programme and payment schedule are created the moment a lead is won.

Client portal and handover

One revocable link for progress, documents, stage payments and snagging sign-off at the end of the build.

Dashboard and AI assistance

Pipeline value, win rate and 30/60/90-day forecast, plus estimating support, drawing take-off and a copilot for your own data.

Know the margin before the price goes out

Every quotation is built from labour, materials, plant, subcontractors, prelims and PC sums — so you agree the margin in the office, not after the job. Once the work is on site, actual cost is compared back against the same categories.

The public demo is the real product running on a sample builder’s data: drag leads through stages, open a quotation and its breakdown, review snags and ask the copilot what to chase today. No login, no email address, nothing saved.

Explore the live demo

Buildflow is new, so the figures shown here and in the demo are sample data, not a customer’s accounts. We would rather show you the working product than publish testimonials we cannot yet stand behind — case studies will appear here once real customers agree to be named.

Security you can explain to a client

  • HTTPS everywhere with strict transport security and a content security policy.
  • Workspace data isolated with database-level row policies, not just interface checks.
  • Roles stored separately from user accounts so nobody can grant themselves access.
  • Documents held in private storage and served through short-lived signed links.
  • Client portal links carry an expiry and can be revoked instantly.
  • Automated security review hourly, data-integrity checks daily.

These are controls that are live in the product today, described by us — not an independent certification, audit report or accreditation. Every workspace admin can see the result of the latest automated check inside Buildflow.

Common questions

What happens when I sign up?
Signing up creates a brand new, empty company workspace that belongs to you. You become its owner and administrator. Nothing is shared with any other company, and colleagues can only join when you invite them.
How do my colleagues join?
From Settings you send an invitation to their work email. When they accept, you give them a role — estimator, project manager, office admin, site supervisor or operative — which controls what they can see. Financial data such as costs and margins is limited to senior roles.
How is company ownership verified?
The first account on a workspace becomes the owner. Before we enable a paid subscription we confirm the workspace against your company email domain and your Companies House registration, so nobody can claim a workspace in your company's name. If a colleague has already created a workspace for your business, email us and we will merge or transfer ownership after checking with the current owner.
Is my client and margin data private?
Yes. Each workspace is isolated at the database level, files are stored privately and served through short-lived links, and role-based access is enforced in the database rather than only in the interface.
Can I try it before paying?
Yes. There is a public demo with no login at all, and a 14-day free trial with no card required.
What if I already use Gmail, Google Calendar or accounting software?
Buildflow connects to Gmail and Google Calendar for enquiries and visits, and to your accounting provider for invoices and bills. Connections are optional and can be removed at any time.
